Terms of service
Effective October 18, 2026.
GetSubRoster is now PaperworkRunner. Only the name changed. Wherever these terms say GetSubRoster, they mean PaperworkRunner, and the getsubroster.com addresses still work.
GetSubRoster is a service of Thriving Partners, LLC ("we", "us"). These terms cover your company's use of GetSubRoster ("you"). By creating an account or paying for a plan, you agree to them. If you create an account or pay on behalf of a company, you represent that you are authorized to bind that company.
What GetSubRoster does, and what it doesn't
GetSubRoster reads certificates of insurance and exemption documents that you, your subcontractors or their agents send; compares what they show with the requirements you set; checks license status against the public licensee files published by the Florida Department of Business and Professional Regulation; keeps the state lookups your team records, with the screen print you attach; and sends the reminders and requests you ask it to send.
Every result shows what was checked and when: the document or public record it came from, and the date and time it was checked. GetSubRoster records what documents and records showed at that moment. It does not confirm that any coverage is in force, and coverage can change or be canceled after a check. GetSubRoster is not insurance, a guarantee of coverage, or legal advice. We do not sell, solicit, negotiate, or advise on insurance.
Your duty under Florida law
Florida law puts the duty to obtain evidence of each subcontractor's workers' compensation coverage or exemption on you, the contractor (Rule 69L-6.032, Florida Administrative Code). GetSubRoster assists you with that duty. It does not perform it for you or take it over. You decide what to require of each subcontractor, whether a document is acceptable, and whether a subcontractor may work. Using GetSubRoster does not by itself make you compliant with any law, rule or contract.
Contact details and messages
When you add a subcontractor's or insurance agent's contact details, import them, or forward an email that contains them, you represent that you have authority to provide them to us so we can contact that person, on your behalf, about insurance documents for your work. Messages go out in your company's name. You are the sender of those messages.
We send WhatsApp messages to a subcontractor only after the subcontractor agrees themselves, on their link page or by sending us a message from their phone. You can invite a subcontractor to WhatsApp; you can't agree for them. Anyone can stop messages at any time. The stop button on a subcontractor's page ends your reminders to that subcontractor on every channel, including the requests to their agent. A STOP or BAJA reply on WhatsApp ends reminders to that number from every contractor that has it in GetSubRoster.
You'll send a subcontractor's GetSubRoster link, whether from GetSubRoster or from your own phone, only to your own subcontractors, and you'll identify yourself as the sender. You'll use GetSubRoster only to request and keep insurance, license and exemption documents, and not to send marketing.
Documents
You're responsible for having the right to send us the documents you forward or upload. Don't send documents with Social Security numbers or bank details. If a W-9 arrives, we delete it without keeping the taxpayer identification number.
When one sender, other than your own team, sends your GetSubRoster address more than 20 documents in a day, the rest are kept but not read until someone on your team chooses to read them in the app.
Documents are read by an AI model. Readings can be wrong, so each one links to the document it came from. Review a reading before you rely on it.
Insurance agencies
Agency plans are set up by written agreement with us. The free plan isn't available for agency accounts. If you're an insurance agency using GetSubRoster for contractor clients, you confirm that each client has authorized you to keep its subcontractor files and to send requests in its name. These terms apply to you for each client account you manage.
Billing
Plans are priced by the number of active subcontractors on your roster: up to 50, 51 to 150, or 151 to 300 (Pro). Larger rosters are set up by written agreement. Plans are billed in advance, yearly or month to month at the month-to-month rate. They renew automatically until you cancel. We email a renewal reminder at least 30 days before each yearly renewal.
Free plan. Contractors can use GetSubRoster free, with no card. The free plan sends reminders for up to 5 subcontractors in each calendar month and includes up to 10 reads in each calendar month. A read is one document of up to 5 pages read by our AI; a certificate is usually one read. A document over 5 pages counts as one more read for each additional 5 pages or part of one, and documents over 20 pages aren't read. If a read fails, it doesn't count. Unused reads don't roll over. Once 5 subcontractors have received reminders in a month, the others get none until the 1st; removing or replacing a subcontractor doesn't reset that count. When a limit is reached, reminders and reads resume on the 1st, or when you upgrade to a paid plan. The free plan sends reminders only for those 5 subcontractors, not for your whole roster.
You can cancel at any time. A month-to-month plan ends at the end of the paid month; a yearly plan runs to the end of the paid year and then stops renewing. Payments are not refundable, except where the law requires a refund.
Each plan includes a number of reads per calendar month: 300 for up to 50 subcontractors, 900 for 51 to 150, and 2,500 for 151 to 300. A read covers up to 5 pages of a document, so a certificate is usually one read; PDFs over 20 pages aren't read. Reading pauses until the next month once the number is reached; write to us if you need more.
If your roster grows past your plan, you can keep adding subcontractors and documents keep being read. We'll tell you in the app and by email, and you'll have 14 days to move to the right plan; after that, reminders pause for the newest subcontractors beyond your plan's number until you do.
Fair use
Your plan is for your company and its own staff. Each login is for one person: don't share logins; ask us to add a teammate instead. You may not resell or sublicense GetSubRoster, or use it to keep or process other companies' files, without a written agreement with Thriving Partners, LLC. A read covers up to 5 pages of a document. If an account goes over its plan's limits, or its use is unusual, we may pause its reminders or reading after notice by email.
Your data
Your documents and records belong to you. We use them only to provide GetSubRoster, and we don't sell them. You can download your audit file at any time. Our privacy notice explains what we hold about your subcontractors and how they can reach us.
Indemnity
You agree to indemnify and hold harmless Thriving Partners, LLC from claims arising from documents or contact information you supply, from messages sent on your behalf at your direction, or from your breach of these terms.
Availability and limits
GetSubRoster is provided as is. We work to keep it available and accurate, but we don't promise it will be uninterrupted or error-free, or that a public record will be available when a check runs. To the extent the law allows, our total liability for any claim is limited to what you paid us in the 12 months before the claim, and neither of us is liable for indirect or consequential losses.
Changes
If we change these terms in a way that matters to you, we'll email account owners at least 30 days before the change takes effect.
Law
Florida law governs these terms. Any dispute goes to the state or federal courts in Miami-Dade County, Florida.
